This Privacy Policy describes how we collect, use, store, and share your data when you use our website, AI assistant web app, chat bot platform, and related subscription-based products (collectively, “the Services”).

- App Interactions: Calendar events, phone call recordings, emails, and chat bot or knowledge file uploads, depending on the Service features you use.

b. Third-Party Data
- If you connect the Services to Gmail, Google Calendar, or Twilio, we access relevant data using secure OAuth2 authorization to perform the App’s functions.
c. Automatically Collected Information
- Usage Data: Device type, IP address, browser, pages visited, access times.
- Cookies & Session Tracking: We use cookies and similar technologies to manage sessions, track usage for analytics, and improve performance.
2. How We Use Your Information
We use your data solely to provide and maintain the Services, including:
- Task management, email processing, phone call handling, and calendar event creation (AI assistant features).
- Chat bot configuration and management, including the storage and retrieval of uploaded knowledge files and interaction logs.
- Managing subscriptions, processing payments, and providing customer support.
- Monitoring usage to ensure performance and security.

We do not use your data for any other purpose beyond the core functionality of the Services.

- Salesforce: User data is securely stored in Salesforce and used solely to support the App’s functions.
- Other Service Providers: Data may be processed by trusted third parties (such as payment processors, hosting, and analytics services) as needed for the Services.
- Legal or Regulatory Requirements: We may disclose information if required by law or to protect our rights.
- Business Transfers: If Core Client is involved in a merger, acquisition, or sale, your data may be transferred as part of that transaction.
No other third parties have access to your data.
4. Data Storage & Security
- Storage: Your data is securely stored in the Salesforce database and other encrypted systems as needed for the Services.
- Encryption: All files, documents, and personal data uploaded to Core Client—including knowledge files for chat bots—are encrypted both in transit (using HTTPS/TLS) and at rest (using robust standards such as AES-256). Uploaded documents may be divided into encrypted chunks for additional security.
- Additional Security Measures: We use firewall protection, SSL encryption for data transfer, and restrict system access to authorized personnel only.
- Core Client Access: Core Client staff does not have access to your unencrypted data.
5. Data Retention and Deletion
- Retention: We retain your data only as long as needed to provide the Services, fulfill legal obligations, and resolve disputes.
- User Deletion: You can delete chat bots, uploaded knowledge files, or your account at any time. When you delete a bot, knowledge document, or your account, it is permanently removed from our systems and cannot be recovered.
6. User Consent & Rights
- Consent: You provide consent for data collection and processing through a consent screen at sign-up. Any updates to this Privacy Policy will require your acceptance before you can continue using the App.
- Your Rights:
- Access, modify, or delete your data at any time through the App.
- Withdraw consent by deleting your account (removing all your data from our systems).
- Opt out of marketing communications at any time.

We access, store, and process data from these services using secure OAuth2 API calls from Salesforce.
9. Children’s Privacy
Our Services are intended for use by individuals 18 years of age or older. However, teachers, schools, or other adult account holders may deploy chat bots for students under 18 within an educational setting.
If you are an account holder and intend for students or minors to interact with chat bots, you are responsible for obtaining any necessary parental or school consent as required by law. Core Client does not knowingly collect personal information directly from children under 18 without such consent and relies on the account holder to ensure appropriate disclosures and lawful use.
10. Compliance
- Our Services are available only in the United States and comply with U.S. privacy laws.
- We do not offer the App to medical, legal, or financial institutions and therefore do not claim compliance with GDPR, CCPA, or HIPAA.
11. Notifications & Changes
We will notify you of any changes to this Privacy Policy via email, SMS (if opted in), and on your first login after changes are made. You will be required to accept any updated terms before continuing to use the App, or you may delete your data and account.
